Coordinator, Client Service

Our Singapore office is seeking a Coordinator to join our Client Service team. This is a fantastic opportunity to join a dynamic, fast-paced start-up environment to work on projects within multiple industry sectors.

What You’ll Do: 

  • Responsible for scheduling telephone consultations for client service teams

  • Coordinate with advisors to obtain responses, availability and confirm telephone consultations

  • Leave messages and follow up with Advisors to expedite scheduling projects

  • Maintain an updated status of client telephone consultations

  • Update Advisors’ profiles as needed

  • Qualify Advisors via questionnaire to confirm if they are appropriate for consultations

  • Follow multiple work streams to help Project Managers organize client requests and track progress on projects

  • Assist with ad-hoc requests

WHAT YOU HAVE: 

  • Diploma holder or Bachelor’s degree

  • 1-3 years of previous work experience dealing in a high-call volume environment

  • Previous project management experience strongly preferred

  • Exceptional organizational skills with meticulous attention to detail

  • Ability to prioritize and multi-task and to work under tight deadlines

  • Flexibility to work long and unpredictable hours

  • Proficiency in MS-Office, Outlook, and Google Suite

  • Proficient in the use of the internet for research

  • Demonstrated ability to communicate effectively and persuasively, both verbally and textually

  • Demonstrated ability to work both in a team atmosphere and autonomously

  • A desire to work in a fast-paced entrepreneurial environment

Manager, Client Service​

Reporting to the Senior Vice President, Client Service, the Team Lead, Client Service will be responsible for managing the performance and quality of a team of Research Project Managers and Associates. This role involves overseeing compliance, providing training and mentoring, managing research development, and supporting staffing and relationship management efforts. The ideal candidate will possess strong leadership skills, an in-depth understanding of compliance protocols, and the ability to drive team performance and client satisfaction.

 

WHAT YOU WILL DO:

  • Oversee the performance and quality assurance of all Research Project Managers and Associates on the team

  • Conduct regular individual meetings with team members to review project progress and performance against goals

  • Train team members on best practices in research, communication, service, and compliance

  • Ensure compliance with company policies and client-specific protocols, and address any breaches

  • Manage the day-to-day commercial decisions related to advisor recruitment and rate negotiations

  • Identify and evaluate new research resources, and supervise their utilization by the team

  • Work with HR to interview, hire, and oversee the career development of team members

  • Conduct disciplinary procedures and performance reviews, ensuring alignment with company policies

  • Collaborate with Research Managers to conduct account reviews, analyze profitability, and develop strategic goals

  • Represent the company in managing the implementation of policies and decisions, and support senior management in decision-making processes

 

WHAT YOU HAVE:

  • Bachelor’s degree in Business Administration, or equivalent

  • Extensive experience in Client Service or Project Management, with at least 4 years in a managerial role.  Prior experience in Expert Network or Consulting would be a plus

  • Strong understanding of compliance policies and procedures within the industry

  • Excellent leadership and team management skills, with a focus on coaching and development

  • Proven ability to manage multiple projects and meet deadlines in a fast-paced environment

  • Strong analytical and problem-solving abilities

  • Excellent spoken and written English communication and interpersonal skills

  • Experience with CRM systems and client service software

  • Ability to work collaboratively with internal departments and senior management

  • High level of professionalism, integrity, and confidentiality in handling sensitive matters

Associate, Client Service

As an Associate on the Client Service team you will focus on making the right connections between our clients and Advisors across numerous industries. Your role will focus on researching industries relevant to client project requests and recruiting elite subject matter experts into our network to ensure the right connection is made. After you master these core skills of recruiting and connecting Advisors with clients, you will gain additional exposure to more complex project and client relationship management as you grow your career here and move into Research Manager and Project Manager roles.

What You’ll Do:

  • Review and analyze client research requests and use a range of resources to identify the most relevant subject matter experts across geographies, industries, and topics for each project

  • Utilise the phone, LinkedIn, and outreach to recruit new Advisors to join the Guidepoint network by effectively communicating why their expertise is a good match for the specific project you’re working on

  • Screen experts for their suitability for specific client projects and create professional profiles for client consideration

  • Operate with a teamwork mentality that leads to building and maintaining strong relationships with other Guidepoint employees, offices, and Advisors

What You Have:

  • Fluency in English 

  • Ability to speak a second Asian language such as Mandarin, Korean, Japanese, Vietnamese, Thai, etc would be an added benefit

  • Bachelor’s degree and strong academic record required

  • Outgoing personality with the ability to speak with people at all professional levels

  • Intellectual curiosity and desire to learn

  • Excellent written and verbal communication skills

  • Effective time management and organizational skills

  • Demonstrated ability to work both individually and as part of a team

  • Ability to work in a fast-paced entrepreneurial environment
